How do I get started? / What are the steps to send an email?

Upload your master list, create your sub "groups" to target, compose your email and schedule the send.

What are the differences between a "List" and a "Group" in smartCommunicator?
A
Lists are the large containers that hold all recipients while Groups are the smaller portions that target segments of the List.

How do I create a template?
A
There are two easy ways to create a template. If you have a webpage that is compatible with email clients you can simply paste the url and click convert. You can also simply paste your content from Microsoft Word or even develop your HTML in our editor.

What do the bounce types mean?
A
MTA Error – This means that the recipient’s e-mail provider has an error of some sort. This is a problem with their ISP and not smartCommunicator.

DNS Error – This error means that there is a problem with the domain name in the recipient’s e-mail address. This is typically due to expired domain names or typos (“htomail.com” instead of “hotmail.com”).

E-Mail SPAM Filtered – This means that a blacklist or spam-filtering service detected your message as unsolicited SPAM and rejected it.

Mailbox Quota Exceeded – This means that the recipient’s inbox is full and they cannot accept any more messages until they make more space.
A
E-mail Address Does not Exist – This means that the recipient’s e-mail address does not exist for that domain name. This may be due to a typo or the recipient may have cancelled their e-mail service with that provider and moved elsewhere.

Other – There are many errors that may cause a bounce and prevent delivery to a recipient. This category is a “catch all” for all those random errors that do not fall under the main bounce types above.

What is a hard bounce?
A
A hard bounce occurs when smartCommunicator is unable to reach a recipient due to a permanent error. This could mean that the e-mail address no longer exists or the domain name does not.

What is a soft bounce?
A
A soft bounce occurs when smartCommunicator is unable to reach a recipient due to a temporary error. This could be due to a timeout when trying to reach the recipient’s e-mail provider or their inbox being over quota. It is possible that at some point in the future, whatever is causing the error will go away and the e-mail address will be able to accept e-mail again.

What is the difference between total versus unique opens/clicks?
A
The total numbers include each and every time an e-mail was opened or a link was clicked. Unique numbers only count each recipient once regardless of how many times they open the e-mail.

What does inactive mean?
A
Inactive means the address has be deactivated due to too many bounces.

What does unsubscribe man?
A
Unsubscribe means the recipient clicked the unsubscribe link in your mailing.

What does Spam mean?
A
Spam means the recipient clicked the “Spam” button provided by their e-mail provider or reported a spam complaint to an organization such as SpamCop.

What do the message statuses mean?
A
Scheduled – The mailing is in the queue to be sent out. The queue is processed every 60 seconds.

In Progress – The mailing is in the process of sending out and should be completed soon. Depending on the size of your list or groups, you may never see a mailing in this stage.

Paused – The mailing is paused and may be restarted or cancelled completely. This means that some messages went out to recipients, but not all. You can go back and make changes to your content and pick up the mailing where you left off.

Sent – The mailing has been sent out to all addresses in the list or group(s) that were selected. This is the final stage of e-mailing.

Awaiting Approval – If approval is required, mailings are held here until an admin approves them to be sent out.

Failed – Sometimes errors may occur that prevent smartCommunicator from sending the mailing out. A typical error is a bad variable or customization being used in the content. Other times, an error will occur because the list or group you are sending to is empty and does not have any active recipients.

How do I customize my e-mail for each recipient?
A
Sometimes you may want to include a “Dear Joe” as the greeting in your content. This can be accomplished by using “list variables” in smartCommunicator. List variables use the fields from your lists and groups.

How do I put in an unsubscribe link?
A
When you are composing your e-mail, there are a couple of links just above the HTML body that allow you to insert the proper unsubscribe links. “Unsubscribe” simply puts in the unsubscribe address. “Unsub-Link” will insert the unsubscribe address as a clickable link in your message. You may see this inserted as %%unsubscribe%% which is smartCommunicator’s “magic variable” that is made into a unique link for each recipient.

What is up with the sheep?
A
The sheep is an easy way to “clone” groups and e-mail content. This will make an exact duplicate of that particular group or e-mail content.
